Training Requirements


Before Pitt-MozHRTP Training
Before Training
Upon notification of acceptance into the Pitt-MozHRTP program, trainees must complete online Responsible Conduct of Research (RCR) training modules before any program funds can be spent on their behalf. The University of Pittsburgh offers this training for free via partnership with the Collaborative Institutional Training Institute (CITI.) Creation of two accounts is required. Please see the Responsible Conduct of Research page for full details and instructions about this requirement.
RCR training completion certificates and reports must be emailed to the Pitt-MozHRTP Program Administrator (Havannah Tung, havannahtung@pitt.edu) before any program funds are spent.
Ethical Approval
Trainees must also submit for ethical approval of their sponsored research from SU or UEM. They must also submit their approved protocol for MSc/PhD degree registration (if applicable) at SU or UEM.
Once approval is received, please forward the ethical approval letter to the Program Administrator. These approvals typically need to be updated annually—trainees are expected to work with their local mentors to keep up with these renewals, and send updated approvals to the Program Administrator as they are received. They are required for inclusion in our annual Progress Reports to NIH.
Degree registration confirmation letters should also be forwarded to the Program Administrator as they are received.
Setting Up eRA Commons and Login.gov accounts
After initial RCR training is complete, trainees will need to work with the Program Administrator to set up an electronic Research Administration Commons (or eRA Commons) account, using an institutional email address (i.e. not Gmail, Yahoo, or Hotmail.)
If a trainee does not have and is unable to acquire an institutional email address from their training institution, they should reach out to the Program Administrator to obtain a pitt.edu email address from the University of Pittsburgh (Pitt.)
The Program Administrator initiates the Commons account creation process with Pitt’s Office of Sponsored Projects. Trainees should expect to receive two emails from eRA Commons to activate their account, at the institutional email address they provided: one with their username, and one with a temporary password.
These should be entered into the Commons Homepage here. They will be asked to change their password immediately, and then will be able to fill in their information under the “Personal Profile” tab.
Commons asks for basic data such as education, employment, and contact info. Once the account is activated and this data is filled in, trainees must forward their eRA Commons username to the Program Administrator.
Login.gov and Multi-Factor Authentication
Accessing an eRA Commons account will also require a Login.gov account and Multi-Factor Authentication (i.e. entering a confirmation code sent via phone or email, alongside a password.)
This Login.gov account should be created after your eRA Commons account. It only needs to be linked to your Commons account once, and you can use the same credentials for both accounts.

Financial Paperwork
Lastly, all trainees must complete financial paperwork to enable receipt of program funds in their accounts via wire transfer (either as a reimbursement for eligible out-of-pocket expenses, or a per diem disbursement.)
IMPORTANT: Please carefully read and refer to the Notes for Completing Your Financial Paperwork document before and during your completion of this paperwork.
The following documentation must be completed and returned via email to the Program Administrator:
- A scanned copy of your passport (the two identification pages)
- A completed International Wire Transfer Form, with your bank account details
- A completed, signed, and scanned W-8 BEN tax form
- A completed, signed, and scanned Confirmation memo, confirming the bank account information you put on your Wire Transfer Form.
- Please ensure that these details EXACTLY match the details on your Wire Transfer Form. This will need to be your primary bank account that you can easily, readily access—this will be where we send/deposit your stipends. Our Payment Processing Office requires this signed memo as additional confirmation of your account details.
- A completed, signed, and scanned first page of the Supplier Verification Form (svf)
Accurate completion and return of these documents is required before any funds can be transferred to trainee accounts. Please contact the Program Administrator with any further questions about this paperwork.
During Pitt-MozHRTP Training
During Training
Trainees are expected to work with their mentors to come up with an Individual Development Plan (IDP) for their training. This provides an opportunity for trainees to articulate and organize their training goals, identify key mentors to help achieve them, and come up with concrete outcomes for training (such as publications, presenting abstracts at conferences, progressing towards a specific career, etc.)

IDP’s must be signed by the trainee and their primary mentor, with completed + signed plans sent to Program Directors and the Program Administrator (Havannah Tung, havannahtung@pitt.edu). These plans should be revisited at least annually and updated as needed while training progresses.
Annual Progress Reports + Program Meetings
Additionally, NIH requires submission of an annual Research Performance Progress Report (RPPR) for this program. Trainees will be expected to provide timely summaries and lists of activities, accomplishments, challenges or changes to their plans, and other data as needed to help complete this report.
The Pitt-MozHRTP Program Administrator will reach out via email with these requests for information. They will typically be made in late September– early October, ahead of the NIH’s RPPR due date of December 1 each year.
An annual program meeting will also be held (in virtual, in-person, or hybrid format), with Program Directors, mentors, administrators, TAC members (if available), and trainees in attendance. Trainees will be expected to present for 10-12 minutes about their research and field questions from attendees. This meeting will typically take place sometime between March and June each year.

After Pitt-MozHRTP Training
After Training
Upon completion of the training, a brief report that outlines the dates and place of training, name and title of the mentor, the skills learned, results of the project, and difficulties encountered. Please email your report to the Program Administrator (Havannah Tung, havannahtung@pitt.edu).
Acknowledgment of NIH support in any subsequent presentations or publications that result from the supported training is required: “This work was supported in part by a Fogarty International Center Pitt-Mozambique Training Program (Pitt-MozHRTP) in COVID-19, Cardiovascular Disease, and Diabetes in People with HIV, National Institutes of Health, to the University of Pittsburgh (D43TW011827).”
RCR Pitt-MozHRTP Training
Responsible Conduct of Research (RCR)
The National Institutes of Health (NIH) has requirements for training in the responsible conduct of research (RCR) for trainees supported by our training grants. All scientists and students supported by our training grants are required to take specific RCR online training modules before travel arrangements can be made, or any funds are dispersed on an individual’s behalf.
Your first step as trainees in this program will be completing these required RCR Training Modules. (Please note: This is the online portion of your RCR training. You will also be receiving this training in person and/or via video conferencing throughout the course of your sponsorship.)

The University of Pittsburgh offers these RCR training modules from the Collaborative Institutional Training Institute (CITI.) In order to access these modules, you will need to create two accounts: first, an HSConnect account, followed by a CITI account.
Accessing Initial RCR Training
You can download two PDFs to assist you with this process: a step-by-step instructions guide here, as well as a more general information sheet here.
The link to create your HSConnect account, which you must do first, is here.
Once this account is created, go to the CITI website, and click “Login.” Of the two options provided, you should select “Other Users: Sign In with HSConnect,” and then enter your HSConnect login information. More details about account setup can be found in the instructions guide linked above.
Once you have created your CITI account, you will be given the option to “Add Courses.” The one we require is the “Responsible Conduct of Research (Basic Course.)” However, you are welcome to take additional free courses if you wish.
You must complete the entire RCR course and score at least 80% on every quiz. This will take some time and can be done in multiple sessions.
Once you have finished the course, please email both your completion certificate and your completion report to the Program Administrator (Havannah Tung, havannahtung@pitt.edu). You will be able to download your certificate and report from the CITI website when you finish.
Please note: we cannot provide Pitt-MozHRTP funds to you or on your behalf before these modules are completed.

Additional Formal RCR Instruction During Training
In conversation with their mentors and training program directors, we encourage trainees to complete the 8-week online short course offered by Wits in partnership with SAMIRA and Digital Campus, “Research Ethics and Integrity.”
